Planning a Fraternity Formal in Myrtle Beach

Are you planning your fraternity formal in Myrtle Beach? Absolutely overwhelmed by all the things you need to do, research, and plan? Of course!

Organizing any big event isn’t easy, especially when it comes to fraternity and sorority formals, and particularly if you want to host your formal in a popular place like Myrtle Beach.

Most students, like yourself, already have your hands full with classes, college life, extracurriculars, and even extra jobs outside of school. This means that you’ll need to make sure you give yourself enough time to plan your formal, at least a semester, if not more, so that you’ve got all the details in place.

If you have no idea where to get started, we’ve been there, and we’ve got you covered!

Read the blog below to get some awesome ideas on how to plan your fraternity formal in Myrtle Beach.

1. First things first.

When it comes to Myrtle Beach, there’s one very important thing you should know:

Myrtle Beach has gotten a lot tougher on fraternities in recent years.

Many properties have stopped allowing fraternity stays, and some will now only host if you have a letter of recommendation or two from previous happy properties where you’ve held your formals.

That being said, we’d highly recommend seeking out those recommendation letters as soon as you can just in case you need them.

Now, onto the more exciting stuff!

2. Venues: Fun in the sun.

The first thing you’re going to think about is all the fun you and your brothers want to have, right? This is Myrtle Beach after all, an amazing vacation city with equally amazing beaches.

Which, of course, means that this city gets booked up quickly, especially during Spring Break and the summer months.

So if you and your fraternity are set on Myrtle Beach for your formal, and you want to have it in April, or really any month in spring, then it is crucial that you get your date locked in and your deposit paid before leaving for Thanksgiving break. (This includes your hotel and transportation, too, but more on that below.)

Other details and logistics to consider when it comes to choosing your venue:

  • How big is your group? Is the venue you’re considering large enough to accommodate everyone and have enough room for them to move around?

  • Do they provide food or catering? Or will you need to add that to your list of things to do?

  • Is the venue close to the hotel? Will you need to worry about transporting everyone there?

Keep these things in mind as you do your research, and make sure everyone knows what they want beforehand so you know what to look for.

To help get you started, these are our top favorite venues in Myrtle Beach: Historic Myrtle Beach Train Depot, The Cooper House, and Myrtle Beach Convention Center.

3. Hotels: Sleeping on the beach.

Finding a place to sleep is probably the biggest thing on your to-do list! And there are a lot of great options in Myrtle Beach.

The most important thing to get locked down is your fraternity’s budget. What are your brothers willing to spend when it comes to each of these items, particularly the hotel? Pretty much all of the hotels are on the beach, which can get expensive, so work out your budget as soon as you can to get the best hotel for you and your group.

As we said earlier, Myrtle Beach is an extremely popular place, and the hotels will get booked up fast with families and others on vacation. If you have your heart set on a specific hotel, make sure to get it booked as soon as possible or you may miss out.

Other details to consider when booking your hotel: Who will be in charge of negotiating the sales contract and ensuring payments are made on time? How will your group get checked in? Is the cost of the hotel normal for the area or are you being charged too much?

4. Transportation: Getting to the beach.

The last major thing to consider is transportation: How is your fraternity going to get to Myrtle Beach?

First, you’ll want to figure out how many people are going to be in your group because knowing this will help you determine how many vehicles you’ll need to rent. If you end up using big charter buses to get to Myrtle Beach, keep an eye out for the parking situations at your hotel. Will your buses be able to load and unload everyone without issue? Where will they need to park during check-in and check out?

If you end up staying at a hotel on or near the beach, you won’t need to coordinate travel there. However, if you and your brothers are staying 15 - 20 minutes from the main strip and nightlife area, then you may want to arrange for transportation.

Make sure the transportation company you choose is available for the dates you want to have your formal, and most importantly, make sure you trust them to get everyone to the hotel safely!

Our choice for transportation in this area is Limos of Myrtle Beach.

5. Final Thoughts and Logistics

Now that you know the major logistics you’ll need to cover in order to plan your formal, let’s talk about some of the smaller details.

Who’s handling all the payments? This is an important thing to consider! Is there someone in your group who doesn’t mind making sure all the guys get their payments in on time? Making sure the companies are paid on time?

Who’s going to plan out what you’re doing or the itinerary? Will this get left to one person alone or a bunch of people?

Like we said earlier, the biggest mistake you can make is procrastinating. Myrtle Beach is super popular, and everything can fill up really fast, leaving you with nothing to book for your formal. Essentially, as soon as your classes start is when you should also start planning your formal.

But life happens, right? Classes, homework, projects. Will anyone have time to make sure everything is coordinated?
